Document Creation Issues

For many Microsoft Office users, the creation of complex documents such as contracts or proposals is a time consuming process. Some users will recycle content from previously used documents and will flip between multiple windows in order to find the appropriate text and then cut and paste the desired sections. Other users will use complicated and costly Document Assembly solutions that require a programmer to manage and are not very flexible.

The Clause Tool and Data Field Fill Tool were originally created for Infoware's law firms clients who needed a simple-to-use solution to generate license contracts, lengthy agreements and wills. The two tools work together and are added to your Word toolbars - the Clause Tool is used to organize and insert desired clauses and the Data Field Fill tool is used to fill-in project or client specific details into the document.

Using the Clause Tool

The Clause Tool is extremely flexible in terms of document construction. When users open a document, they are immediately prompted by a dialog box that asks what standard clause collection to use or (if the document has predefined clause markers) automatically inserts the desired text. A Subject Area Expert can ensure that other staff are preparing documents with the right text by deploying document templates with predefined clause markers.

Once a document is open, users can add additional text with the Tree View pick list. Users can choose all the clauses first and then have the Clause Tool write them into the document, or they can navigate through the document and insert clause by clause as they review the document. After the document is saved and closed it will maintain its formatting and is a normal word document (so you don't get strange format issues).

Using the Data Field Fill Tool

The Data Fill Tool provides an easy means to fill in client or project specific information. The Tool searches the current document for all data fields and presents a list of the unique fields found. The Data Fill tool uses a simple dialog box to allow the user to enter the text that they wish to use for each field and this text will replace the placeholder fields in the document. If a field reference is used repeatedly throughout a document, the user only needs to enter the value for the field once.

Using the Data Field Fill Tool will limit repetitive data entry and allow for the creation of master agreements or contracts that can then be customized for each client or project. The Tool also supports advanced logic in populating fields for sophisticated documents or templates. Area experts can among other features:
  • Restrict Data Fill options to Preset Choices
  • Employ Yes/No Logic
  • Change Document Elements based on User Responses

Pricing and Compatibility
The Tools included in the Document Assembly Suite are modular and are available on a Per User or Site License basis. Per User, the cost is $75/user/tool or $125/user for both the Clause and Data Field Fill Tools. For a site license the cost is $3500/tool or $6000 for both Document Assembly Suite Tools. Supports Word 2000 to 2003.
