"Find Contacts" provides an AutoText like interface to Contact information that you have stored in Outlook. It can search not only your own contacts but also another persons contacts folder and a workgroup public folder of contacts if you have Exchange Server installed. Searching can be done by Contact name or Company name. You can even update the Contact's information in Outlook from within MS Word.

  • Double click on a contact name in the list will do an insert and close the form unless the thumb tack is pushed in to keep the form open.
  • Ctrl+Double click on a contact name in the list will do an insert and leave the form open.
  • The Escape key or the close button will close the form.
  • "Folders to Look In" and "Use Attention Style" settings are stored in the user section of the registry and are remembered between sessions.
  • There are a number of formats that you can use to insert an address block at the insertion point. The two main styles are a standard address block and an attention line style address block.

Operation

Once the template is in place you will see a new Standard Toolbar buttonin MS Word, use this button or the short cut key Ctrl+; (semi-colon) to launch the "Find Contacts" tool. If the insertion point (cursor) is sitting at the end of a word "Find Contacts" will use that word as a name and do a lookup in the contact folders for a match. If only one match is found it will replace the lookup text with the found address just as pressing F3 would do with AutoText. If no match is found or multiple matches are found the "Find Contacts" form will be displayed for you to further specify the search. Lookup text is always treated as Lastname, Firstname.

Other Person's Folder Access
You will only be able to search another person's contacts (say a co-worker or the Lawyer you work for) if they have granted you access to their contacts folder and Outlook is connected to an Exchange Server. The "Find Contacts" tool has been programmed to not return contacts from another user's contact folder that are marked private.

The "Other Person" settings provided in the drop-down list in "Find Contacts" are populated from an AutoText entry. Infoware has developed template technology that uses the concept of a list of common people that you do work for and we store standard information about those people and their preferences and provide a simple method of switching between them as you generate documents. "Find Contacts" uses two AutoText values from this methodology to support the Other Person's Contacts folder lookup.
